OCCS Delivery Services Suspended

What materials are no longer delivered?

Any and all print materials generated through the OCCS high speed print devices including but not limited to syllabi, reports, manuals, articles, tests, instructional materials, optical scan tests and associated information.

When is the effective date?

Noon, September 28, 2007

Where can materials be picked up?

All documents can be picked up from OCCS, located at 4700 Elkhorn Ave, Engineering and Computational Sciences Building, Room 4100, 4th floor.

What are the hours?

Customers may pick up documents Monday through Friday from 7:00 am and 10:00 pm. Saturday hours are 8:00 am to 5:00 pm. There are no pick up hours on Sundays. The building is locked and secured on Sunday and at all other times not listed previously.

What are the procedures?

Document security requires that customers provide appropriate identification. When picking up materials. OCCS staff will only release materials to authorized owners. OCCS determines authorized owners through the computer generated ID used upon submission. However, we anticipate that owners may want to designate others such as graduate assistants, student employees or other staff to pick up documents. To facilitate this, we have established the following procedures.

Identification Procedures

Academic Offices/Print Owners

Academic offices and all other print service users will be required to enter the name(s) of the owner and authorized pickup staff in the "Comments" section when generating documents. The name entered will display on the cover sheet for a printed job and identify the person authorized to pickup the material. Step by step instructions for placing names of authorized persons follow.

Administrative Offices

Administrative offices may send a list of authorized staff to OCCS Operations to allow release of regular production printed work. Administrative printouts will be logged and signatures will be required.

Transport

Customer are reminded that large volumes of printed materials may require transport assistance. OCCS will seal and package materials as usual, however, wheeled carts or other such moving equipment are not available. When printing in volume, customers should bring portable carts or contact ODU Moving and Hauling for assistance.

Disposal

Customers are encouraged to pick up materials within 24 hours of submission. However, OCCS will retain all printed materials for a maximum of three (3) business days. After three days, the materials will be discarded. Printed materials are monitored for duplication and to insure that printing privileges are not misused.

Note: OCCS asks that the campus community be conscious of waste. Paper costs continue to escalate each year. As a general rule, please utilize Comment Line 2 to communicate with the duty printer operator regarding what and how much you are printing. For example, enter: "100 copies, stapled, duplex" to describe your own particular expected output. This way, the operator can quality control your output, stop if it is incorrect and notify you of any problems - prior to your receiving something that is not correct, wasting valuable time and paper resources.
